Partial Wedding Planning

Partial planning typically includes the following items (and then some!) and can be customized to fit your individual needs and style.

 

Pre-Event Production

  • Recommend venues and vendors to match event budget and style
  • Attend site visit(s) with client to establish the event style and flow
  • Unlimited face to face meetings, phone and e-mail communication/advice 
  • Guidance on wedding etiquette or create ideas for new traditions
  • Regularly check on client’s progress and to do list
  • Create complete timeline for celebration and manage timeline for all vendors
  • Lead all vendor walk-throughs
  • Provide guidance/sample text for printed materials (save the date, invitation, ceremony program, menu)
  • Schedule and book all guest and family transportation to/from ceremony and reception
  • Help create menu and attend tasting with caterer, if necessary
  • Serve as point of contact/liaison for all vendors 
  • Coordinate aspects of rehearsal dinner (site selection, decor, timeline)

Wedding Week

  • Coordinate rehearsal 
  • Attend final meeting with client and collect all celebration elements
  • Confirm all details and arrival times for vendors
  • Provide schedule for family and VIP guests

Wedding Day

  • Coordinate all aspects of wedding celebration
  • Oversee check-in of rentals
  • Coordinate and receive all deliveries 
  • Distribute final payments and gratuities
  • Manage and coordinate transportation for family and guests
  • Provide event emergency kit (including sewing kit, stain remover, etc)
  • Provide and place restroom amenities basket, if necessary
  • Organize and set up ceremony programs, escort cards, place cards, menu cards, etc.
  • Oversee change of room from ceremony to reception, if needed
  • Conduct final lighting and sound inspection prior to guest arrival
  • Conduct final seating and table check prior for reception
  • Cue all music changes and speeches with band/DJ/wedding party
  • Cue guests and family for special moments including: cake cutting, toasts and dancing
  • Serve as point person for all vendors—cueing timing throughout event
  • Manage and remedy all moment-to-moment challenges and changes
  • Arrange favors (if applicable)
  • Oversee strike of venue
  • Collect any celebration elements and gifts for safekeeping
  • Double check return/pick up of all rental elements from caterer and floral designer
